ESSENTIAL FUNCTIONS OF THE POSITION:
This role will oversee and coordinate all functions of the main desk and agency lobby while delivering exceptional client service to a diverse clientele.
- Receives and greets visitors in the main lobby.
- Receives telephone calls, provides essential information on Pathway’s programs and services, handles inquires, and forwards the call to the respective staff member.
- Accurately inputs Client Satisfaction Surveys into an Excel spreadsheet.
- Secures interpreters when needed for non-English speaking clients.
- Creates and maintains Excel spreadsheets.
- Maintain copies of agency and community-related program materials.
- Creates and affixes labels to folders/mail for the HEAP department.
- Copies documentation for pending letters brought in by clients for the respective department.
- Maintain a current/up-to-date roster of employees and their telephone extensions quarterly.
- Receives and sorts incoming mail, applies postage to outgoing mail, and drops it in the outdoor mailbox.
- Immediately notifies staff of deliveries by email or by telephone.
- Immediately notifies department supervisor or director of any unruly clients who are harassing, causing danger to others, or inciting a riot.
- Keeps the lobby and waiting area clean and neat (e.g., straightens chairs, pickup paper and trash).
- Other related duties as assigned.
QUALIFICATIONS:
- Must be able to use the Microsoft Office Suite software and be proficient in the use of computers, the internet, and data entry.
- Must have a professional appearance.
- Provides a quality client service experience for all clients by providing compassionate, active listening and responding to clients’ needs in a timely manner.Must be able to complete various duties while simultaneously maintaining each program’s processes, rules, and guidelines.
- Must have excellent client service skills, in particular de-escalation.Must be patient, even-tempered, and flexible.
- Must be action-oriented and results-driven.
- Must have excellent problem-solving skills.
- Must be able to work with and be sensitive to the needs of the low-income elderly and /or minority residents.
- Must possess excellent interpersonal skills (i.e., able to work with agitated clients with courtesy and a genuine concern for a person’s well-being), along with being a good representative for the agency.
- Must be organized and have good record-keeping skills.
- Must be able to work with minimal supervision.
- Must be able to work with a positive attitude and work cooperatively as a team player with other staff members.
- Must be able to travel in and out of town for training related to this position.
EDUCATION:
- High school diploma or GED required. Some post-secondary education in social work or a related field is preferred. Prior non-profit, community action agency, human service, or call center experience is preferred.
